The Schedule Meeting pop-up window will then appear. Fill out the following information for your meeting:
- Meeting Name - Please give a clear meeting name.
- Please note that the meeting name, topic, focus and description cannot use "HeyPeers" or the term "HeyPeers Certified." "HeyPeers Certified" titles are reserved for hired HeyPeers staff for specific meeting offerings. To learn more about HeyPeers Certified meetings, please contact Customer Care: support@heypeers.com.
- Please see Meeting Behavior Expectations and Chat Room Behavior Expectations for more general guidelines.
- Start Time - Here you will designate the day and start time of your group meeting. The time will reflect the time zone you have set within your Account Settings.
- Support Type - Select from the drop-down menu. Select “Other” if the specific condition isn’t represented in the drop-down menu.
- Support Topic - If you have a series of topics for this meeting type, insert the topic.
- Special Focus - If you have set a specific topic, we recommend inputting a sentence or two about the topic. If not, you can insert specific lived experiences you can facilitate a group on.
- Select Meeting Duration - Click on the drop-down menus to designate the duration of the meeting.
- Price to join in USD - if you leave it empty the meeting will be FREE. If you would like to set a price please be sure to input the number of cents to the total price. An example is $5.99.
- Max registrants - Use the up or down arrows in the right corner of the box to set your maximum number of attendees. Note - this number should not include the Peer Supporter. If the meeting should have a maximum of ten members and one peer supporter hosting (11 people total), then the max registrants field should be set to 10, to exclude the peer supporter.
- Type of Meeting
- Group Meeting - if you select this be sure to set the correct amount of max registrants in the box above.
- 1 on 1 Coaching - if you select this option, the max registrants box will automatically change to 1.
- Description - Fill in the general description of this meeting type.
- Additional features for Peer Supporters:
- Make this Meeting Private - if you check this box, the meeting will be private.
- *Note: The meeting will still show up on the list of public meetings. However, private meetings are password protected and only HeyPeers users who have the password will be allowed to join the meeting.
- If this option is selected, Peer Supporters must remember to send the password for the meeting to the registered members prior to the meeting.
- Exclusive - if you check this box, the meeting will not be displayed on the public Meetings page. The meeting will only appear on the My Meetings page of the Peer Supporter. The Peer Supporter must then invite others to the meeting directly.
- Allow donations - if you check this box, HeyPeers users are able to donate the amount they choose to show their appreciation of the Peer Supporter. This option allows members to make donations during a meeting or immediately after the end of a meeting.
- Enable wait room - if you check this box, this allows the Peer Supporter to accept or deny requests from HeyPeers users to join the meeting. The Peer Supporter can let people in by clicking on them one at a time. Once the toggle is set to enable the waiting room, it remains on for the duration of the meeting and it cannot be turned off during the meeting.
- Enable waiting list - if you check this box, it turns on the waitlist feature if your meeting has hit the maximum registrants. This feature will automatically send out a seat invitation to members on the waitlist if someone from the registered list cancels their registration.
- Make this Meeting Private - if you check this box, the meeting will be private.
