Creating an “Availability Calendar” is a useful tool that will help you streamline your meeting scheduling process. To do so, first, go to heypeers.com and log into your account. You will be brought to your "Destination Page." Click on ACCOUNT in the top right corner of your screen. Select “Availability Calendar” from the dropdown menu.
You will be brought to a new page.
You will see a weekly calendar on your page. Click the WORKING HOURS button located at the top right corner of your page. A popup window will appear, fill out the following information:
- Select your work days - Select your organization’s work days from the dropdown list
- Work start time - Designate hours of operation for your organization. Select the time your organization is open. Please be sure to include the hours you typically would schedule your online support group meetings.
- Work end time - Designate hours of operation for your organization. Select the time your organization is closes. Please be sure to include the hours you typically would schedule your online support group meetings.
The times selected will reflect the time zone you designated in your Organizational Preferences. Click on the SAVE button to set your organization’s availability calendar.
Once your organization’s availability calendar has been designated, ask all of your users who could potentially host a meeting to fill out their own availability calendars. This will ensure that you don’t schedule anyone to host a meeting when they are not available.
To direct your users to set their availability calendars, please communicate the following:
Log into your HeyPeers account. Click on the ACCOUNT dropdown menu located in the top right corner of your screen. Select “Availability Calendar” from the dropdown menu options. You will be brought to a new page.
You will see a weekly calendar on your page. Click the WORKING HOURS button located at the top right corner of your page. A popup window will appear, fill out the following information:

- Select your work days - Select the days you are available from the dropdown list
- Work start time - Designate what time you are available to start facilitating online support group meetings on the days you’ve designated.
- Work end time - Designate what time you are no longer available to facilitating online support group meetings on the days you’ve designated.
If there is a series of dates you are not available to facilitate online support group meetings, click the OUT OF OFFICE button located at the top left corner of your page. A popup window will appear. Select the date range you are unavailable or “out of office”. Click on the SAVE button to save the range of dates.
