Whether you are facilitating from one computer or a couple monitors here are some recommendations on how to prepare your upcoming group meeting or coaching session before you actually enter the meeting space.
First, If you have a PowerPoint document, PDF handouts, notes to guide you in your facilitation, video, etc...open all those necessary meeting materials BEFORE entering into your meeting space.
You will need to format the documents that you plan to share, so that you can see BOTH the peers who have joined your support group meeting or coaching session and the document.
If you have TWO monitors, be sure to open the documents you intend to share on one screen and keep your HeyPeers Meeting Room on the other screen.
If you only have ONE monitor and are using a PPT that means you cannot “Start A Slideshow” when sharing the document. If you were to do that the PPT would block your HeyPeers Meeting Room window. Don’t worry we have a solution for you! Go to your opened PPT document and select the “Slide Show” tab (on Mac) click on the “Set Up Slide Show” icon. A Window will pop up. At the top of this window under “Show Type” make sure the “Browsed by an individual (window)” option is selected. Then press the OK button at the bottom right corner. This will allow you to select the SLIDE SHOW icon at the bottom of your PPT window or select the “Play from Start” icon and it will launch your PPT slide show in a window that won't take your entire computer screen. You can resize that window so you can both see the HeyPeers Meeting Space and the PPT at the same time. Even though the resized version on your screen will be smaller, when you share it, your attendees will see it cover most of their HeyPeers Meeting Space.
If you are concerned about remembering how to set up your PPT properly you can always export your PPT to PDF. Within PPT select EXPORT and designate that you want to export it in the PDF format. It will export the entire PPT slideshow as a PDF format.
If you are sharing a Word document or a PDF document, you can resize them without affecting the way your attendees can see it within the HeyPeers Meeting. Resize the document so that you can it and the HeyPeers meeting space at the same time.
If you are sharing a video that you can only access through a web browser, we recommend that you pull up the video in a separate window in the web browser. Resize the video so that you can see your HeyPeers meetings space and the video at the same time.
