Organizations can choose to set a customized limit on the number of active registrations a subscriber may have. Active registrations includes all open registrations for upcoming meetings facilitated by that organization, and excludes any cancelled meetings.
When a meeting registration limit is enabled for an organization, it is not applied retroactively. This means when an organization sets a new meeting limit, it will only apply to future meeting registrations.
Existing registrations for subscribers who may be over the new limit will not be automatically removed. However, subscribers will be prevented from registering for any more meetings until their active registrations are below the new limit.
Turning On the Meeting Registration Limit
Meeting registration limits are managed in Organization Settings.
To navigate to the Organizations Settings, click on the Organizations tab, Manage Organizations button, and then the Manage button on the bottom right hand corner of your organization tile.
On the Manage Organization page, click on the first icon and select Organization Settings.
The Registration limit field is found on the Organization Settings page just above the Save button.
By default, the registration limit field will be blank, which indicates the feature is turned off.
- To activate this feature: enter the registration limit amount in the text box, then click Save.
- To deactivate this feature: delete the registration limit number (leaving text field blank), then click Save.
What a Subscriber Sees
When subscribers have reached the registration limit, and they attempt to register for more meetings, the following Registration Failed message will be displayed:
Example: Let's say the organization sets a registration limit of 10 meetings and the subscriber already has 10 registrations. If they try to register for an 11th meeting, they will see the message above until they attend, or cancel, 1 of the 10 active meeting registrations. Once their active registrations for that organization reaches 9 or less, they can register for another meeting.
Example 2: Let's say the organization sets a registration limit of 10 meetings, and the subscriber already has 15 registrations. The subscriber will maintain those 15 registrations, even though it is over the new set limit. However, the subscriber will continue to see the message above until their active registrations for that organization is under the new limit. That means the member would need to attend, or cancel, 6 meetings before they could register for any future meetings.
NOTE: Setting a registration limit on your organization meetings does NOT affect a member's registration for other organizational or 1:1 meetings on HeyPeers.
Additional Reporting for Administrators
To assist with managing meeting registrations, you can view the roster of Registered Users for additional information.
To access the Registered Users roster, click on the Registered number link, found on the meeting list on the organization’s page, and this will bring you to the Registered Users page.
From the Registered Users page, administrators can review that particular meeting registration details, including details about specific individuals, as needed.
Administrators can view the Registered Users tab, and the Waiting List tab, if enabled.
From the Registered Users tab, you can see the registered users listed by their usernames, and see a snapshot of their upcoming and previous meeting registrations, including how many meetings they actually attended for which they were registered.
If you click on the ellipses menu at the end of a row for a user (the 3 dots), and select Meeting History from the dropdown options, you can view a more detailed list of the upcoming and past meeting registrations for that individual.
